Your Data – Your Rights

When you contact us, you may provide personal details. These are securely stored, encrypted, and anonymised. We use this data to improve our needs-led service and may share anonymised statistics with funders or partner organisations.

We may share anonymous data such as:

  • Number of contacts

  • Issues faced by users
  • Outcomes achieved

No identifiable personal information will ever be shared outside our organisation for research purposes.

Case Studies

Our funders may request anonymous case studies to evaluate our service. These contain no identifying information. Staff may also create anonymous case studies for professional development or training.

Occasionally, with your permission, we may write more detailed case studies to highlight the positive impact of our work.

Referrals and Signposting

Sometimes we may refer you to other local services. If so, we will ask for your consent to share your personally identifiable information (PII) such as:

  • Name(s)
  • Address

  • Date of birth

This data is stored securely and only shared with relevant organisations with your explicit consent.

Retention of Information

We retain client data for up to 6 years after the contract ends in order to:

  • Comply with legal obligations (e.g. tax, health & safety)
  • Protect against potential legal claims

All data is deleted securely using best practices to ensure it is unrecoverable.

Safeguarding

In rare cases, we may share your information without consent if it's necessary to protect your life or the safety of others. This might happen if:

  • Your life is at immediate risk
  • You are at risk from someone else
  • You pose a risk to someone else

In these situations, we will attempt to inform you of any action being taken and involve you in the decision-making whenever possible.

We will always:

  • Seek your consent before sharing data (unless in emergency situations)
